EASTHAM VISITORS PROMOTION AND SERVICES BOARD MEETING 6/29/15
Present: Prudie Kerry, Ed Atwood, Barbara Komins, Bonnie Nuendel, Jim Russo
Meeting called to order at 3:30pm in the Small meeting room.
Minutes from 2/3/15 meeting reviewed; motion made by Bonnie to approve as written, seconded by Jim, all in favor.
New business:
Meeting schedule discussed with plan made to hold VSB meetings on Mondays at 3:30 pm for the convenience of all. Specific dates will be determined at each meeting for the next meeting. It was additionally noted that the town of Eastham does not permit members to attend meetings via telephone conference calls.
Jim reported that he had received word that a vendor from Orleans had been inquiring about parking their product van near the Windmill Green on Monday nights to sell to concert-goers. Discussion followed and the general concensus was that to allow one vendor is to open the door to more vendors. This would result in congested parking and decreasing business to our merchants who are adjacent to the Windmill Green. Jim made a motion to make it a VSB policy to discourage vendors from seeking to sell at the concerts. Barb seconded the motion and the vote was unanimously in favor of the motion.
Ed reported that he has many ideas to provide entertainment to visitors and residents alike using the Windmill Green venue. Barb reported that a campground she manages in Dennis offers a movie night with outdoor screenings. It was decided that in order to avoid unwelcome competition with the Wellfleet Cinema we would limit the film selection to vintage movies and will continue to discuss the possibility of trying this next summer in addition to the concerts.
Old business:
Summer Concerts/Publicity.
- The permit has been approved by the building committee to allow the sign up on the frame for the summer beginning 6/23. Warren and Jim have cleaned up the sign and placed it on 6/22.
- Concert schedule has been given by Jim to to the rental realtors for the packets they hand out to their renters. Jim has also sent an e-blast to the 1300 or so subscribers to the C of C website. Barb and Bonnie and Ed handed out schedules to businesses along Rt 6. Barb has done south Brackett Rd. to Orleans/Eastham Rotary, Bonnie and Ed did north Brackett Rd and to Wellfleet border.
- Ed has submit the concert schedule to local newspapers CCT, CC, Banner and to social media as requested.
- The committee will continue to collaborate on presenting a varied program for the concerts; Prudie would like to pursue a reggae group for next year.
Lighting on Windmill Green – Lisa called DNR supervisor Neil Andres who kindly came to share information. Neil reports that after July 1st there will be a cabinet that can be locked installed to contain the switches. The job is presently out to bid. Bonnie raised the idea of solar lighting for the trees and the plan was to try one tree this summer to see how effective it is before purchasing for all the trees. If successful we might add solar lighting to one or two additional trees per year out of our budget.
Banners - Farrell Electric is being paid to place/remove banners along Samoset, Depot and Brackett Rds as the town no longer has a pole truck. Discussion ensued re which committee the funds to pay for this should come from. Neil mentioned that the Tree Warden budget has $10,000 this year because some damaged oaks will be taken down. There may be a possibility that the banners could be hung/removed when this work is being done. The summer banners will not be hung before July 1st due to heavy work load at present. Neil will communicate with Lisa about the lighting on the Windmill Green.
Town Map – Jim went to the town assessors' office to ask for the current street map so that old maps could be updated where they are incorrect. The map Jim was shown was the one that he and the Chamber developed, not an official town map.Possibly the Environmental Partners who are involved with the town municipal water would have an accurate street map that could be used as a resource. Jim returned to the assessor's office; the official map still is not available. Assessor states she will call Jim when it is available.
The meeting was adjourned at 4:15 pm. The next meeting is scheduled for September 14 at 3:30 p.m. in the Small meeting room if available.
